Terms & Conditions

  1. Heathcote Community Centre is operated by Heathcote Parish Church (full name The Parochial Church Council of the Ecclesiastical Parish of Heathcote, registered charity number 1189550). The operation of the Community Centre is overseen on behalf of Heathcote Parish Church by the Heathcote Community Centre Management Committee.
  1. You, the hirer, are responsible for the activities that you undertake in the Community Centre and for making sure that the Community Centre’s facilities are suitable for your activity. You must arrange appropriate insurance for your activity, including but not limited to Public Liability Insurance. For repeat bookings; you must provide a copy of your Risk Assessment and copy of insurance and other relevant documents relating to the hire and use of the premises.
  1. You hereby indemnify Heathcote Parish Church operating as Heathcote Community Centre against all claims, demands, costs and actions, including injury to a person or damage to property, which may arise out of your or your group’s activities.
  1. You are responsible for holding a register of the people attending your session and always ensuring their safety, including during an evacuation.  You are responsible for safeguarding and ensuring the safety of any vulnerable members of your group. Children must be supervised at all times.
  1. You must make yourself familiar with the Fire Evacuation plans for the building which are displayed in each room in the centre.  This includes making sure you are familiar with emergency exits and the fire assembly point. You must not leave fire doors open; block fire exits or move or tamper with the fire extinguishers or do anything which increases the risk of fire or restricts safety in the event of a fire.
  1. Your group may only use the facilities you have hired for the purposes you booked for. You may not use other parts of the building or equipment (such as musical instruments, sports equipment, audio visual technology) unless expressly agreed.  The balcony above the Church is not to be accessed under any circumstances.  You must not let anyone else into the building other than your own group members. Only Assistance Dogs are allowed.
  1. Any electrical equipment brought into the building must be PAT tested and you may be requested to provide a valid test certificate. Any Community Centre equipment must be used expressly for the purposes intended and in accordance with any guidance provided. Please pay due care and attention when manual handling equipment.  Please let the Centre Manager know promptly if you come across any defects or problems with any equipment.
  1. No markings may be made on walls or floors. Blue tac cannot be used on walls. Food and drink may only be consumed in the Foyer and kitchenette areas. Alcohol is strictly prohibited on the premises. Smoking, including vaping, is not permitted anywhere in the building, outside the entrance and exits or within the fenced perimeter. We also ask for no helium balloons to be used in the sports hall. 
  1. Any accidents or injuries must be recorded in the Accident Book, which is kept in the Kitchen. There are First Aid kits in the Kitchen and Church.
  1. If you hold a Key/Key Fob for the Community Centre, you will have signed the Key/Key Fob Register. A Key/Fob must not be shared or lent to anyone else. Key/Fob holders are responsible for ensuring the main entrance doors are fully closed during the session and on leaving the building, to ensure the automatic door entry system can operate properly. 
  1. You must make sure that all windows and Fire Doors are closed, and the building is secure at the end of your session. You are responsible for any damage or loss incurred through failure to secure the building.
  1. The building must be left in the same condition as you find it. You must clean up after your session and take all your belongings with you, unless it has been agreed in advance that any items may remain.   Any damage to Community Centre equipment, fixtures or fittings must be reported to the Centre Manager straight away. You may be charged for the cost of repair and/or replacement for damages and breakages which can reasonably be deemed to have occurred during and because of your and your group’s use of the building.  Any personal belongings brought into the building remain your responsibility. The Community Centre accepts no responsibility for any loss or damage. Our total liability to you is limited to the fees you have actually paid.
  1. The Community Centre car park is adjacent to the building. You may use this at your own risk. There are two disabled bays for use by disabled badge holders only.
  1. Please be considerate to others when you visit the Community Centre and please be respectful of local residents and businesses.
  1. You will be invoiced ahead of your event and must pay within 14 days of receipt. Invoices are payable by BACS and details will be provided on the invoice. Failure to pay may result in your booking being cancelled and in future bookings being declined.
  1. For one off bookings: if you cancel your booking no later than 30 calendar days before the date of your event, the balance of the hire charge that you have paid will be refunded after deduction of a £40 administration fee. If you cancel your booking less than 30 calendar days before the date of your event, we reserve the right to retain the full hire charge. 

For repeat bookings: A calendar months’ notice must be given to cancel the booking. Failure to provide this will result in the next month’s regular hire charge being incurred.  

  1. The Management Committee will not tolerate what it deems to be rude, intimidating, or offensive behaviour or communication and retains the right to refuse or cancel any booking on this basis.
  1. Failure to comply with these Terms and Conditions will result in you no longer being able to continue your booking and you may be charged for unused hire. 
  1. These Terms and Conditions are reviewed annually or as needed. You will be informed about any changes that may affect your booking. You will be deemed to have accepted the changes that we have informed you about but if you do not accept the changes, you may cancel your booking and you will not be charged for the cancelled hire period.
